GENERAL Booking Policies

  • Booking Fee

A non-refundable booking fee is required for each appointment and will be deducted from the total balance. Bookings are only confirmed once the deposit has been paid. Deposits are refundable only if the clinic cancels the appointment. Services are available to clients aged 18 and over only.

  • CARD ON FILE

We securely keep a card on file to simplify payments and apply any applicable treatment, cancellation, or no-show fees. By booking, you agree to these charges, and any unpaid balances must be settled before scheduling future appointments.

  • Rescheduling

minimum of 48 hours notice is required to reschedule a booking.

Your deposit can be applied to one future booking within 6 weeks of the original appointment date.

  • Service Changes

A minimum of 48 hours’ notice is required for any changes to your booked service. Failure to provide at least 48 hours’ notice will result in the full charge for the original service.

  • Cancellation due to Sickness / Illness:

If you arrive at your appointment unfit or unwell, the booking will not proceed. In these circumstances, clients will be charged 100% of the service cost.

Clients who are unwell must notify us promptly; each client is allowed one illness-related late reschedule per year free of charge. Thereafter, standard cancellation fees will apply to any late reschedule attributed to sickness.

  • Cancellations / Late Rescheduling

- Appointments cancelled or rescheduled more than 48 hours in advance will not incur any charge.

- Appointments cancelled or rescheduled 24 – 48 hours before the scheduled time will incur 50% of the service cost.

- Appointments cancelled or rescheduled within 24 hours or on the day of the booking will incur 100% of the service cost.

Non-payment of any applicable cancellation fees may result in restrictions on future bookings.

  • Lateness

A 10-minute grace period applies for late arrivals. Late arrivals may result in cancellation, loss of deposit, and full service charges.

  • Plus One Policy

To ensure the comfort and safety of all clients, guests are not allowed to attend appointments for eyelash or teeth whitening treatments.

A plus-one is welcome for fat dissolving procedures only. Please note: all guests must be 18 or over, and children or anyone under 18 are not permitted in the treatment area.

Clinical Treatments Policy

  • Eligibility

All clients must be at least 18 years of age to receive clinical treatments. Proof of age via valid photo identification (e.g. passport or driver’s license) is required at your appointment. If you are unable to provide valid ID, your appointment will be cancelled and the full treatment fee will still apply. We reserve the right to decline service if age requirements are not met.

  • Medical Form Requirement

When you book an aesthetic treatment, you’ll receive a medical form to complete. This must be completed at least 48 hours before your appointment. Please ensure all information is accurate and truthful, especially regarding your health and medical history so we can ensure your safety. Late submission may lead to your appointment being cancelled, and providing false or incomplete information may result in your insurance coverage being invalidated.

  • Informed Consent

By undergoing treatment, you confirm that you have received and understood all relevant information regarding the procedure, including potential risks, side effects, and aftercare instructions. You consent to treatment with full knowledge that results may vary. Photographs will be taken before and after your treatment as part of our insurance requirements.

  • Medical Contraindications

Certain health conditions, medications, or allergies may prevent you from receiving treatment safely. It is your responsibility to disclose all relevant medical information during your consultation. We retain the right to refuse treatment if it is deemed unsafe or unsuitable based on this information. Failure to disclose key health details may result in the voiding of your insurance.

  • Aftercare

Post-treatment care instructions will be provided following your procedure. It is your responsibility to adhere to these guidelines in order to minimise complications and support effective results. We cannot be held accountable for any issues arising from failure to follow aftercare advice.

  • Risks and Side Effects

Although generally safe, clinical treatments carry potential side effects including, but not limited to, redness, swelling, bruising, and infection. Outcomes can vary, and further sessions may be required to achieve the desired outcome. By agreeing to treatment, you accept these risks. Full details are outlined in the informed medical consent documentation provided to and signed by you before treatment via Faces Consent.

  • Refund Policy

Refunds are not offered for completed treatments, regardless of the outcome. Dissatisfaction with results due to poor aftercare or unmet expectations does not qualify for a refund. If you are unhappy with your results, you must notify us before leaving the premises. Exiting the clinic indicates your acceptance of the outcome. We reserve the right to decline follow-up corrections if this policy is not adhered to.

  • Reactions

In the unlikely event that you experience an adverse reaction, please contact the clinic immediately using the information on our ‘Contact Us’ page. We’ll prioritise your concern and do our best to provide the appropriate support as quickly as possible.

  • Liability

318 AESTHETICS is not liable for any adverse reactions, complications, or dissatisfaction following treatment unless caused by the direct negligence or error of our practitioners.

  • Regulatory Compliance

All treatments are administered by a qualified professional in line with UK laws and safety regulations. Our clinic adheres to all health and safety guidelines set by the UK regulations, ensuring the highest standards of care and safety.
